Insurance, FBT calculations, and declarations

Insurance

The Insurance screen has two main sections.

The section on the left of screen, Client Details displays client insurance details stored in the Clients / MLA tab. These details are usually applicable to operating leases where insurance is taken as blanket cover by the client.

The right section of the screen, Individual Details is used to store insurance details particular to this vehicle only. This is typically insurance is vehicle specific, such as novated leases.

Insurance Type

Insurance Type (List) — User selects type of insurance

Client Details

Client Insurance Information

Client Insurer (Display) — Hyperlink to the Insurance supplier record. The record is retrieved from the Clients / MLA tab.

Contact Number (Display) — Telephone number from Insurance supplier record.

Policy Number (Display) — Policy Number from the Clients / MLA tab.

Policy Due Date (Display) — Policy Due Date from the Clients / MLA tab.

Days Until Due (Calc) — Number of days until policy is due to expire.

Insurance Broker (Display) — Hyperlink to Insurance Broker supplier record. The record is retrieved from the Clients / MLA tab.

Self Billing? (Tick Box) — Field not in use.

Total Billed (Calc) — Field not in use.

Last Billed (Date) — Field not in use.

Preferred Repairer (Display) — Hyperlink to the Preferred Repairer supplier record. The record is retrieved from the Clients / MLA tab.

Additional Insurance

Extended Warranty Policy Number (Alpha/Num) — Extended Warranty Insurance Policy Number recorded here. This field name can be re-labelled.

GAP Policy Number (Alpha/Num) — GAP Policy Insurance Number recorded here. This field name can be re-labelled.

Redundancy Policy Number (Alpha/Num) — Redundancy Insurance Policy Number recorded here. This field name can be re-labelled.

Walkaway Policy Number (Alpha/Num) — Walkaway Insurance Policy Number recorded here. This field name can be re-labelled.

Notes: (Text) — Text box for unlimited user notes

Individual Details

Policy Setup Rules

Policy Owner (List) — Select who the Policy Owner is. This governs the information that is shown below. Refer to the Policy Owner page for details of the business rules.

The fields Policy Owner, Insurer and Policy Number cannot be edited when an active Contracts / Payments schedule exists for Insurance. If you need to edit the "Policy Owner" field, make the schedule inactive, edit the field and then re-start the payment schedule. Visit the process page Stop a payment schedule for details.

Insurance Policy Details

Insurer (List) — This may be pre-populated from the Quotes / Contract tab details, or it may be updated from the policy owner's rules. The insurers that are available in the list box depends on which Policy Owner has been chosen. Access to this field is controlled via Role Restrictions.

Contact Number (Display) — Telephone number of insurance company

Policy Number (Alpha/Num) — Store the insurance company's policy number for the vehicle. If the "Policy Owner" on the contract is set as 'Internal', this field will update from the policy owner's stored values. Access to this field is controlled via Role Restrictions.

Insurance Dates

Field	Type	Description
Start Date	Date	Insurance policy start date. If entered, this date serves as the default "1st Payment Due" in the Payments tab. If the "Policy Owner" on the contract is set as 'Internal' and = no, this field will update from the policy owner's stored values. If set to ‘yes’, rules apply for Accept/Settle behaviour.
Policy Due Date	Date	Insurance policy expiry date. If the "Policy Owner" on the contract is set as 'Internal', this field will update from the policy owner's stored values.
Cancelled Date	Date	Insurance Policy Cancelled Date
Days Until Due	Calc	Number of days until policy is due to expire

Billing & Risk Settings

Output Options

Form Name	Description
Insurance Declaration	If configured, generates Insurance Declaration with vehicle details populated. Used for insurer onboarding. Select Office(xlsx) output to generate document.

FBT Troubleshooting

Benefit Type is Operating and FBT Amounts show as Statutory
Operating Method FBT is not calculated because full transaction data is required.

Driver Report does not match selected month
Browser caching may cause mismatched PDFs.

Reports and Buttons are missing
Occurs when required Contract Type templates are not configured.

Insurance Calculation Issues

Fire Service Levy mismatch
Check Delivery State and Insurance Location match.

Stamp Duty mismatch
Check required configuration values are aligned.

Insurance Declaration Setup

If Office(xlsx) output is missing:
