Client configuration, defaults, and financier settings
Clients
Clients are customers of the system user. The client module consists of multiple functional screens.
Client Screens Overview
Contact
Contains contact details and addresses.
MLA
Contains contractual information such as Master Lease Agreement date and insurance policy details.
Quote Defaults
Contains client-specific defaults used during quoting.
Contract Defaults
Contains fee and billing defaults used for contract billing setup (initial and periodic billing).
Approval Defaults
Contains flags and codes used in approval checks.
Prospect
Used to record information specific to the prospecting process.
Discounts
Used to define discount levels and variant rebates.
Financiers
Stores financiers, limits, review dates, and margin rates.
Events
Used to record client-level events such as meetings and follow-ups.
Contact List
Stores a list of client contacts.
Contact Details
Stores detailed contact records for clients.
Divisions
Defines client divisions which can be allocated to contracts via contract events.
Cost Centres
Defines cost centres for the client, used in contract allocation.
Cost Centre
Stores additional detailed information for each cost centre.
Card Fees
Used to define transaction uplift fees per product and fuel supplier.
Client Creation
Clients can be created using:
New Client
Creates a completely new client record.
Copy Client
Creates a new client by copying an existing record.
All fields are copied except Client Code
Client Code must be unique and manually entered
Each client is assigned a unique Client ID.
Client Header Information
FBT Type
Displays the FBT Type configured for the client.
Due Off + 30 Days
Displays contracts ending within the next 30 days (including suspended contracts).
Orders
Displays contracts with status “Order”.
Deliveries + 30 Days
Displays orders with delivery dates within the next 30 days.
Average Fees
Displays average monthly fees for live contracts.
Days Since Last Visit
Calculated from system date and last recorded visit date.
Client Document Icon
PDF Document Indicator (**)
Displayed when a client PDF document exists
Typically used for Master Lease Agreements or authorised signatory documents
File Rules
File name must match Client Code (e.g.
AA1.pdf)Stored in:
fleet/administration/clients/documents
Behaviour
Clicking the icon opens the PDF document

Create Client Button
Creates a new client record.
Mandatory fields:

Sales
Copy Client Button
Creates a new client based on an existing record.
Copies all fields except Client Code
Client Code must be re-entered
