Redundancy Insurance Disclosures

When Contract Types / Details "Validate Redundancy Insurance" checkbox is selected, it will trigger a validation process if you select the quote inclusion Redundancy Insurance when editing or creating a quote.

Validation

The Insurance Disclosures validation pop-up window will display when the user navigates to the Quotes / Lease tab.

When saved, a hover-over of the data is available to review the entered responses.

Validation Rules

  • All questions are mandatory to answer.

  • Questions can be set to require a 'yes' answer, or allow a 'no' answer. If the question is set to require a 'yes', it must be answered with 'Yes'. It can be set to allow 'no' and then a 'No' will be allowed.

  • If the question being answered is a date, it must be populated and the requirement setting will not apply.

  • If the linked driver has a stored "Date of Birth", this will populate into the validation screen automatically.

  • If the driver "Date of Birth" and the Quote validation "Date of Birth" do not match, the user will be alerted to confirm the date.

  • Certain questions are answered automatically. Any questions that are automatically updated will be displayed as read-only. They will not be editable. Refer to Automatic Population section.

  • When a quote is copied, all entered answers for the Duty of Disclosure questions will be retained.

  • When a quote is edited, the validation process will be completed 'silently' in the background on 'Save' and when navigating away from Lease tab.

All questions are stored in table qtinsurancedisclosures. The validation process will not work if this table is not populated.

Any question can be linked to any Drivers field. Refer to Linked Field Name to Drivers section.

Automatic Population

Below three questions can be set to automatically answer. Any questions that are automatically updated will be displayed as read-only. They will not be editable.

Note: Wordings should match exactly.

Is Driver 18 to 64 Years of Age at Start of Lease?

As there is no contract in place at the time of quoting, the 'start of lease' date will be taken from Quotes / Contract > "Effective Date".

The business logic required will be: ((Quotes / Contract > "Effective Date" less Drivers / Contact > "Date of Birth") / 365). If results between 18 and 64 years of age then 'Yes' else 'No'.

Is the Vehicle Less Than 10 Years Old at Start of Lease?

The business logic required is where Quotes / Contract > "Effective Date" less Quotes / Vehicle > "Plate Year" = Age of vehicle. Where result is less than or equal to 10, 'Yes', else 'No'.

Lease Amount is Greater Than $5000

The business logic required is where Quotes / Finance > "Depreciable Amount" is greater than 5000.00, 'Yes', else 'No'.

Link Driver Data to Question

Any disclosure questions can be linked to driver field. The linked field value will be displayed against the question. If the driver is missing then it will show as blank. The value can still be entered and saved. Where this field is populated and a driver is allocated to the quote later, the driver record will be populated.

Field value can be changed and saved which in turn will save the driver field value too.

A validation check is done on quote 'save' and 'create' to check the saved value of disclosure question against linked driver. They should match.


Review Fuel Costs

Qualifiers

  • Your variants are set-up with a linked fuel type

  • You want to review the settings and costs used in the Quotes / Lease - Fuel (F) profile to calculate the Fuel budget

Check Control Settings

Go to Setup / Reference Data

  1. Table: select 'gb_controls'

  2. Name: enter 'fuel_usage' and check the required default is stored. Set as 'combined', 'metro' or 'country'. This is the default entry for the Quote / Lease Fuel Profile "Fuel Usage" field. This field is used in the vehicle's fuel consumption calculation and thus, the fuel budget.

  3. Name: enter 'fuelcostadjustment' and check and update each state amount. If an amount is entered here for a state, the Quote / Lease Fuel Profile "Cost per Litre" amount will be scaled up or down by the amount of this entry. Quote / Contract "Delivery State" is the state that is used to apply this scaling.

Export Data from a Table

  1. Go to Setup / Export Table Data

  2. Module: select 'qt|Quotes'

  3. Table: select 'qtfueltypes'

  4. Click on Export

  5. Save your file

Review and Update Costs

  1. Save a copy of the file, this will be your archive file

  2. Save a new copy of the file, this will be your upload file

  3. You can create new records with a new effective_date each time you update the costs, but we recommend maintaining just one set of fuel records so that fuel costs are always updated to use the current costs if you edit a quote's fuel profile.

If You Only Have One Set of Fuel Records

(i.e. effective_date is 0000-00-00), (i.e. only one record set exists):

  • Update the cost_per_litre field as required for each record

If You Have More Than One Set of Fuel Records and Want to Overwrite Them

  • Find the record set with the most recent effective_date

  • Remove all the records that are earlier than this from the upload file (i.e. only one set remain)

  • Update the cost_per_litre field as required for each record

If You Want to Create New Records for Each Cost Change

  • Locate and make a copy of the last set of fuel records in use

  • Remove all of the pre-existing records from the spreadsheet (i.e. only one set remain)

  • Set the effective_date to be blank

  • Update the effective_date field to show the date that the costs will be used from

  • Update the cost_per_litre field as required for each record

  • Save your new upload file

Import Data to a Table

We recommend testing this update in your support environment first.

  1. Go to Setup / Import Table Data

  2. Module: select 'qt|Quotes'

  3. Table: select 'qtfueltypes'

  4. Drop or browse to import the data file

  5. Click on Upload

  6. Click on Import

  7. Navigate to the system and check the data you have imported

  8. Test the changes by creating and copying quotes to see the updated costs applied


Tyres (T)

Your system can be configured to calculate tyre profile costs with the following logic:

Each variant typically has a stored "Rear Tyre Size" which can be used to match the variant to suitable tyres in the table qttyres. A qtvariantprofiles record is usually set-up with a "Tyres/Set" and "Tyre Interval" and linked to a preferred tyre.

Using these values the "Estimated Tyres" is calculated (using the "Contract KMs").

From this the estimated costs of the expected total tyre costs return the "Total Budget".

Re-calculation Triggers

The tyre profile selections and costs are re-calculated if you change any of the following fields:

  • Quotes / Contract "Effective Date", "Term (Months)", "Annual KMs" or "Client Code"

  • Quotes / Vehicle "Variant", "New or Used" or "Odometer"

Note: If a Variant Profile has the corresponding tyre_id = 0, or no Variant Profile record exists, and Tyres have been manually included in the Quote prior to updating the Term, the manually selected Tyre profile data will remain as is when changing the Term.

Field Descriptions

Include? (Check Box) — Check to include this budget profile. Un-check to remove.

Specification (Lookup) — Use the lookup icon to find and select a Tyre Code. If one is recorded in the maintenance profile of the selected variant, it will default into new quotes. Access to this field can be role restricted.

Tyre Name (Calculation) — Displays the stored tyre name.

Tyres per Set (Calculation) — Defaults in the stored Tyres/Set on the linked variant's profile. This can be edited. Access to this field can be role restricted.

Interval KMs (Calculation) — Defaults in the stored Tyre Interval on the linked variant's profile. This can be edited. Access to this field can be role restricted.

Unit Cost (Calculation) — Defaults in the stored tyre cost linked to the chosen tyre. This can be edited. Access to this field can be role restricted.

Estimated Tyres (Number) — This is calculated based on "Contract KMs" / "Interval KMs". This can be edited. Access to this field can be role restricted.

Limit? (Checkbox) — Report only field. This is not used in any system processes or calculations. Access to this field can be role restricted.

Monthly Budget (Number) — The "Monthly Budget" is calculated by dividing the "Total Budget" by the number of billing periods there will be. Open the Monthly Budget Calculation for an illustration of this. Access to this field can be role restricted.

Total Budget (Number) — Calculated as follows: "Estimated Tyres" x "Unit Cost".
