Set Lease Inclusions by Contract Type

Overview

Administrators can now control, for each Contract Type, which Lease Inclusions are added automatically to quotes and which can't be used at all. This stops quotes from carrying Inclusion products that don't apply to their Contract Type.

Each Inclusion can be set to one of three types for a Contract Type:

Not offered on quotes for this Contract Type, and removed if it is already selected when a quote moves to this Contract Type.

Where to Find It

Fleet › Controls › Accounts › Contract Types › Details tab. The Lease Inclusions section sits at the bottom of the right-hand column, below Maintenance Risk.

What the Section Shows

  • Every active and suspended Inclusion, plus any inactive Inclusion that already has a type set for this Contract Type.

  • Inclusions are sorted by name, then by Inclusion Code.

  • Each row shows the Inclusion Code, Inclusion Name and Type.

  • Unavailable rows are highlighted pink.

  • Suspended and inactive Inclusions are shown in grey text, and their Type can't be changed. Where a row is both Unavailable and suspended or inactive, the pink highlight still shows.

  • If there are no Inclusions to list, the section still appears, with an empty list.

Every Inclusion shows as Available until you set a different type.

How It Works

  1. Open the Contract Type and select Edit.

  2. In Lease Inclusions, choose Available, Preselected or Unavailable for each Inclusion you want to change.

  3. Select Save.

The same applies when you create a new Contract Type, or create one by copying another:

  • New Contract Type: the types you set are saved when the Contract Type is created.

  • Copy: the new Contract Type starts with the source Contract Type's Lease Inclusions settings, and you can change any of them before saving. Setting an Inclusion back to Available removes it from the copy's settings.

Changes are recorded in the Contract Type's View Edit History, which shows the Inclusion Code for each change.

To change the type of a suspended or inactive Inclusion, make the Inclusion active first.

Expected Behaviour on Quotes

Creating a New Quote

  • Preselected Inclusions for the quote's Contract Type are selected automatically. The existing Client and Vehicle exclusions still apply, so an excluded Inclusion isn't selected.

  • Unavailable Inclusions aren't shown in the Inclusions list.

  • A suspended Inclusion set to Preselected is still selected automatically. An inactive Inclusion is never selected automatically.

Changing a Quote's Contract Type

  • Preselected Inclusions for the new Contract Type are selected automatically.

  • An Inclusion that is Unavailable for the new Contract Type and currently selected is deselected, however it came to be selected. A warning names the Inclusion and explains that it has been deselected because it isn't available for this Contract Type.

  • An Inclusion that was Preselected for the old Contract Type, and has no type set for the new one, is also deselected. The warning explains that it is no longer preselected for this Contract Type. You can select it again manually if needed.

  • An Inclusion that is Unavailable for the new Contract Type but wasn't selected is simply not offered. No warning is shown.

  • Inclusions with no type set for either Contract Type are left as you had them.

What Deselecting an Inclusion Changes

When an Inclusion is deselected because of a Contract Type change:

  • its Plan is cleared

  • its retail price, cost price, stamp duty, fire service levy and vehicle value are reset to zero

  • if the Inclusion isn't financed and has a posting class, its budget is set to zero and marked as excluded, so the quote totals change.

Opening or Editing a Quote Without Changing Its Contract Type

  • Unavailable Inclusions are hidden from the Inclusions list.

  • If the quote already has an Unavailable Inclusion selected, it stays visible and selected, and is kept when you save. You can still deselect it manually. Once you do, it won't be offered again.

Copying a Quote

  • Copying a quote doesn't apply the Contract Type settings. An Inclusion that is Unavailable for the Contract Type is carried over to the copy still selected.

  • If you then change the copy's Contract Type, the rules above apply as normal.

Existing Quotes

  • Changing a Contract Type's Lease Inclusions settings doesn't change quotes that already exist. The settings are applied to a quote only when it's created, or when its own Contract Type is changed.

Good to Know

  • These settings work by Contract Type. They are separate from the existing Client and Vehicle (Make, Model, Variant) Inclusion exclusions, which continue to work as before.

  • Quotes created and updated through the API already follow these settings.
