Overview of driver/employee records and search
Packaging Module
The Packaging module is used to:
Store employee details
Store Salary Packaging data
Generate login access
Link employees to vehicle contracts
This module is hidden unless you intend to:
Transfer salary packaging data from other systems
Store and report packaging and novated vehicle information from a single repository
Your system can also be configured to provide access to an Employee Portal, allowing employees to:
View packaging balances
Lodge reimbursement claims
View their vehicle balance
Employee and Driver data are stored in the same underlying database tables, however:
The screens display different fields depending on whether the record is viewed as a Driver or Employee.
Vehicle Tabs (When Active Contract Exists)
If the employee has an active vehicle contract, additional vehicle screens are displayed.
These are identical to the corresponding contract tabs:
Vehicle Events → Same as Contracts → Events
Vehicle FBT → Same as Contracts → FBT
Vehicle Maintenance → Same as Contracts → Maintenance
Vehicle Claim → Same as Contracts → Claim

Create Driver (From Quote Screen)
When creating a quote, a new driver can be created directly from the Quote screen.
Using the Add Folder Icon
When creating a new quote:
An Add Folder icon (Create Driver) appears next to the Driver ID field.
When you click the Add Folder icon:
The Create Driver window opens.
The screen displays the Drivers → Contact tab.
Enter driver details.
Click Create.
Note:
The Client field is automatically populated from the quote.
It cannot be changed from this screen.
Selecting:
Create
Cancel
X
Will close the driver window.
Entering the Driver Name Directly
If you type a driver’s name directly into the quote:
If the name is new:
You are prompted to create a new driver record.
Selecting Yes opens the Create Driver window.
Name and Client are prefilled.
Selecting Cancel returns you to the quote screen.
If the driver exists for the selected client:
The quote refreshes with that driver’s record.
If multiple drivers exist for the selected client:
A pop-up window displays matching drivers.
Select the correct driver.
If none match:
Close the pop-up.
Create a new driver or proceed without one.
If the driver exists under another client within the same group:
A pop-up window displays those drivers.
You may select one or close the window.
If you select a driver from another client:
The quote updates to the client linked to that driver.
If you exit the window:
You may create a new driver.
Or continue quoting without a driver.
Edit Driver Icon Behaviour
Once a driver is selected or created:
The Add Folder icon changes to Edit Folder (Edit Driver).
Clicking Edit Folder:
Opens the Driver window.
Allows editing on the Driver → Contact tab only.
Other driver tabs are not accessible at this stage.
View Driver (From Saved Quote)
When the quote is saved and viewed in View Mode:
A View Driver icon appears.
Clicking this icon:
Opens the full driver record window.
All driver tabs are accessible.
Most driver functionality is available (e.g. editing finance fields, creating events).
Restrictions:
Cannot change the client.
Cannot enable login access from this window.
Recommended Workflow (Editing Driver from Quote)
When editing Driver information from:
Fleet → Administration → Quotes | Contract/Driver Details
Use the following process:
Click the View Driver icon next to Driver ID.
In the pop-up window, click Edit.
Make required changes.
Click Save.
Close the window using the X (top right).
Changes will carry through to the quote.
Important Note on Data Refresh
Changes made:
At Fleet → Administration → Drivers
Or via Edit Driver icon (Contact tab only)
Do not automatically refresh in the quote.
To refresh Driver data:
Delete the Driver ID.
Tab off the Driver ID field.
Re-enter the Driver ID.
Tab off the field again.
Driver data will refresh.
Save the quote.
